This policy explains how DispatchBud handles personal information when you visit our website, create a workspace, use our services, or interact with a business that uses DispatchBud.

DispatchBud is primarily a business-to-business service. A home service business generally controls the customer and employee information it enters into DispatchBud; DispatchBud processes that information on the business’s instructions. Contact that business first if your request concerns its records.

1. Scope and our roles

This Privacy Policy applies to DispatchBud websites, applications, support, and related services (the “Services”). It does not govern third-party websites or services.

DispatchBud acts as a controller for information used to operate our own business, such as account, website, subscription, and support information. DispatchBud acts as a processor or service provider for data a subscribing business submits about its customers, prospects, properties, workers, and operations (“Customer Data”). The subscribing business determines why and how that Customer Data is used.

2. Information we collect

Information you provide

  • Account and workspace details, including name, business name, email, phone number, role, login credentials, locations, branding, and preferences.
  • Subscription and transaction details, including plan, billing status, payment tokens, processor identifiers, card brand and last four digits. Full payment-card details are intended to be transmitted to and handled by the payment provider, not stored in DispatchBud’s application database.
  • Customer Data, including contacts, service addresses, property details, notes, files, requests, estimates, contracts, signatures, jobs, invoices, payments, maintenance plans, messages, marketing permissions, and activity history.
  • Support, sales, survey, and other communications you send us.
  • Integration data you choose to connect, such as Google Calendar or Business Profile, QuickBooks, Gusto, messaging, storage, mapping, advertising, or payment services.

Information collected automatically

We may collect device and browser type, IP address, timestamps, pages or features used, referring pages, approximate location derived from IP, cookie or session identifiers, logs, diagnostic events, and security signals. The Services use essential cookies or similar storage for authentication, security, preferences, and core functionality.

Information from others

We may receive information from workspace owners, authorized users, a business’s customers, integration providers, payment processors, identity or fraud-prevention providers, and public or commercial sources as permitted by law.

3. How we use information

  • Provide, secure, maintain, support, and improve the Services.
  • Authenticate users, administer workspaces, process subscriptions, and provide requested integrations.
  • Generate and deliver estimates, contracts, invoices, payment links, appointment communications, review requests, and marketing messages at a customer’s direction.
  • Respond to inquiries and send administrative, security, product, and legally required notices.
  • Detect fraud, abuse, security incidents, and violations of our terms.
  • Analyze performance and develop features using aggregated or de-identified information where appropriate.
  • Comply with law, enforce agreements, and establish or defend legal claims.

Where a law requires a legal basis, we rely as applicable on performance of a contract, legitimate interests, consent, and compliance with legal obligations.

4. How we disclose information

We may disclose information to:

  • Authorized workspace users according to their roles and the subscribing business’s instructions.
  • Service providers supporting hosting, databases, file storage, email, SMS, mapping, security, support, analytics, and other operations.
  • Payment and financial providers to tokenize payment methods, process charges, manage recurring billing, prevent fraud, or provide connected financial services.
  • Integration providers when an authorized user connects or uses an integration. Their own terms and privacy policies apply.
  • Professional advisers and authorities when reasonably necessary for legal, audit, insurance, safety, or compliance purposes.
  • Transaction parties in a financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections.
  • Others at your direction or with consent.

We do not sell personal information for money. We do not currently share personal information for cross-context behavioral advertising or process it for targeted advertising on our behalf. A subscribing business may use Customer Data with its own advertising integrations; that business is responsible for the activity and required choices.

5. Customer communications and marketing

Businesses using DispatchBud are responsible for obtaining and documenting any consent required to call, text, email, record, or market to individuals, for honoring opt-outs, and for the content and timing of their communications. DispatchBud may provide consent fields and unsubscribe tools, but those features do not determine whether a particular communication is lawful. You may opt out of DispatchBud marketing emails through the message link or by contacting us; service and security notices may continue.

SMS data: SMS opt-in data and consent will not be sold, rented, or shared with third parties or affiliates for promotional or marketing purposes. We may share SMS opt-in data and consent only with service providers that help operate and deliver the messaging program, including messaging platforms, telecommunications carriers, and vendors involved in delivering text messages.

6. Retention

We retain information for as long as reasonably needed to provide the Services, maintain business and transaction records, comply with law, resolve disputes, enforce agreements, and protect the Services. Retention varies by data type, workspace instructions, legal obligations, backup cycles, and the status of an account. Deletion from active systems may not immediately remove data from backups or records we must retain. Workspace owners should export needed records before cancellation and contact us about account deletion.

7. Security

We use administrative, technical, and physical safeguards designed to protect information, including access controls, organization-scoped records, password hashing, encryption for supported credentials, and security logging. No service, storage method, or transmission is completely secure. You are responsible for protecting credentials, configuring user access, securing devices and connected accounts, and promptly reporting suspected unauthorized access.

8. Your privacy rights

Depending on where you live and subject to exceptions, you may have rights to know or access, correct, delete, or obtain a portable copy of personal information, and to opt out of sale, targeted advertising, or certain profiling. You may also have the right to appeal a denial and not be discriminated against for exercising a right.

To submit a request about information DispatchBud controls, email support@dispatchbud.com with “Privacy request” in the subject. We may verify your identity and authority and may ask for information needed to locate records. An authorized agent may submit a request where permitted by law. If your request concerns Customer Data, identify the relevant home service business; we may refer the request to that business.

We do not currently sell personal information or use it for targeted advertising on DispatchBud’s behalf. Where legally required, we will treat a recognized browser-based universal opt-out signal, such as Global Privacy Control, as a request to opt out of applicable processing. Because we do not currently conduct that processing, the signal may not change your experience.

9. Children

The Services are for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. Customers must not use the Services to collect children’s information unless they have a lawful basis and all required permissions.

10. U.S. processing and state disclosures

DispatchBud is operated in the United States, and information may be processed in the United States and other places where providers operate. Privacy laws may differ from those in your location. U.S. state privacy laws may require disclosure of categories collected, purposes, recipients, and rights; Sections 2–4 and 8 provide that information. We may disclose identifiers, commercial information, internet activity, geolocation, professional information, communications, and inferences to the recipient categories described above for business purposes.

11. Changes to this policy

We may update this policy as our practices or law change. We will post the updated version and revise the date above. If changes are material, we may provide additional notice as required by law. Continued use after the effective date is subject to the updated policy.
